Document Tagging
As part of your page’s Document Library, you can add what we will informally call “tags” to all documents that you upload. These tags will allow for the best search optimization in Sharepoint. When an employee goes to search a specific term on the intranet, having all applicable tags assigned to your documents will help the best matches appear first in their list of search results.
Below are our six main “tag” categories along with a few related examples or definition:
- Department (the department you work for)
- Document Type (like glossary, guide, template, tutorial, and more)
- Internal (e.g. branch, letterhead, onboarding, sponsorships, volunteer, etc.)
- Products and Services (business, commercial, loans, mobile banking, and more)
- Subsidiary (the company you work for)
- Vendors (like BAI, Empower, Fiserv, KnowBe4, Oracle, and more)
As you upload documents to your Document Library, we encourage you to add all applicable tags to the “Enterprise Keywords” field in the document details. If you have already uploaded documents to your document library, you can easily go back and edit the document details to add these tags.
After you upload a document in the Document Library, click the three dots next to the file name, then select Details. In the side pane on the right, locate the “Enterprise Keywords” field and click Enter value here to add tags. Simply type in any letter of the alphabet to explore the list of all tags that currently exist beginning with that letter.
There is no “Save” button. As soon as you click on the desired keyword/tag, it has been added successfully to the specific document. Add as many as make sense / relate to this file. Think of keywords that are not already included in the file name.
If you are not finding a particular keyword and would like to request that one be added to our enterprise term store, please contact a member of the Sharepoint project team. It should be a keyword that is applicable to multiple documents; one-offs should preferably be included in the file name.
