Creating an Email Rule in Outlook

You may receive many emails from one particular sender or about one particular topic.  For example, you may receive Data Warehouse reports or invoices from Accounts Payable that would be better delivered to a separate folder in Outlook, and not mixed in with all your other emails in the Inbox.


To create a rule in Outlook:

  1. Click the File tab in the navigation ribbon.
  2. Click Manage Rules & Alerts.
  3. Click New Rule on the E-mail Rules tab in the Rules and Alerts dialog box.
  4. Proceed to Step 1 at the top: Select a template.
  5. Choose a template from either the Stay Organized or Stay Up to Date list of rule templates.
    1. Example: "Move messages from someone to a folder" if you want all messages from a specific sender separated out
    2. Example: "Move messages with specific words in the subject to a folder" if you have emails that all say "Report" or another keyword in the subject line
  6. Proceed to Step 2 at the bottom: Edit a rule description.
  7. Click on the underlined value (e.g. people or public group, specific words, and specified folder where the messages should be put into)
  8. Click Next.
  9. Choose the message conditions you prefer under Step 1: Select conditions.
  10. Click on presented underlined values from your selected conditions.
  11. Enter in specifics for the underlined values under Step 2: Edit the rule description.
  12. Click Next.
  13. Choose exceptions to the rule under Step 1: Select exception(s), if any.
  14. Click Next.
  15. Choose values for underlined text under Step 2: Edit the rule description.
  16. Click Next.
  17. Enter a name under Step 1: Specify a name for this rule.
  18. Select additional actions under Step 2: Setup rule options.
  19. Click Finish.
