Occasionally, an employee may leave one FMHC member bank to go work for another, or leave a member bank to work for FMHC, or vice-versa. The transition of access can be challenging, but not impossible.
- The manager at the departing company will need to submit a User Removal Form to process the standard separation from that company.
- The manager at the arriving company will need to submit a User Add Form to process a standard user add to that company.
Phone calls from the user's old extension may be forwarded to another user for a specific time period. The user should be assigned a new number for their new position at the other company.
The user should also be set up with a new email address for the company they moved to. If the former manager requests email forwarding, the proxy address of the old email address may be removed from the user's profile in Active Directory and added as a proxy address (lowercase "smtp" for a secondary alias) to the user who should be receiving those emails. Also, the old email address must be added as an alias to the recipient user in Silversky, otherwise the mail will not flow properly and will continue to be delivered to the original user.
Active Directory group membership and other network/app access may be removed according to the former manager and added as the new manager requests. Jon Densmore will also be able to send the new manager an Access Auditor review for them to approve/deny specific existing permissions.
The user's UPN should also be changed to reflect their new company, either under the Account tab (dropdown list) or in Attribute Editor (userPrincipalName). Let Compliance know about the change so they can update BAI and Verafin if necessary (Patty Thompson/Cori Paxton).
OLD info below (OneDrive will simply follow the employee with no issues):
A new U:/ drive should also be created for the user on the appropriate domain controller/server for the user's new company. Once created, their Active Directory profile should be updated to reflect this new path. Consult the engineers if a user is still temporarily needing access to their old U:/ drive - a link/mapping can be created with special permissions to allow this for a certain period of time. Otherwise, the former manager may request the U:/ drive files be moved elsewhere so they can be retained in the user's former company.
